Client Coordinator Role

YSC’s approach to client management has been honed over years of planning and executing holistic, award winning, and premium experiences. We ensure we are ahead of the game, ready to initiate with clients in real-time, at the right-time, and from the vantage point of being involved in the end-to-end consulting process. The Client Coordinator is integral to this approach.

Key Responsibilities

This role is to be the day-to-day contact for specific clients and projects, liaising extensively with clients, consultants, and YSC’s support functions.
This will include some or all the following:

  • Overseeing complex diary management and the scheduling of large volumes of client appointments (including, in-person and via telephone/video conference, scheduling travel, etc.), working to tight deadlines across multiple geographies.
  • Effectively building relationships with clients and consultants within the team.
  • Co-ordinating, preparing and providing administrative support for client events as needed.
  • Proof reading and formatting documents for internal and client use as needed.
  • Supporting the Business Manager and Client Teams in ensuring the successful running of client accounts across the client portfolio.
  • Tracking, monitoring, and reporting on all aspects of their client accounts and projects.
  • Inputting into the strategic decisions made for the client portfolio.
  • Supporting team with portfolio of clients effectively; liaising between clients, YSC consultants and the wider YSC business to deliver to deadlines.
  • Supporting the Business Manager and other team members, in working closely with Client Directors, attending client meetings (internal and external) where necessary to ensure efficient and seamless delivery to the client.
  • Working with Business Manager and other team members to ensure appropriate client rhythm is implemented.
  • Tracking, monitoring, and reporting of capacity, utilisation, etc.
  • Resource borrowing – ensuring processes are followed and tracking of global resource borrowing is accurate
  • Assisting with ensuring accuracy of client-related financial processes, invoices, purchase orders, and with a data input.

Key Skills and Personal Characteristics

  • Excellent communication skills: This role will require extensive liaison with senior- level clients and the internal team at YSC. Must be able to demonstrate confidence, credibility and flexibility in managing all of their stakeholders.
  • Organisation and planning: High levels of organisation, prioritisation, and planning skills in managing multiple work streams; excellent diary management.
  • Excellent administration and technical skills: Proficient in Windows packages, particularly Excel and Outlook, to manage clients and work efficiently and easily; strong understanding and eye for grammar; excellent document proofing skills.
  • Excellent attention to detail: Accuracy; excellent standards of document presentation; excellent written and oral communication; proactivity and initiative to drive forward improvements in standards of service provided.
  • Resilience: Maintains confidence and optimism in the face of ambiguity; meets pressing deadlines; works well under pressure; has capacity to cope with volume.
  • Motivation: Interest and motivation towards our work and clients and a desire for personal and professional development; receptive to feedback; demonstrates conscientiousness, reliability, and pro-activity; open to new ideas and change; self- starter.
  • Relationships with clients: Outstanding ‘public face’ of YSC through exemplary dealings with clients e.g., excellent phone manner, professional approach, timely responses, builds relationships, warm, relaxed style.
  • Relationships with team: Enthusiasm and helpfulness to others through a collaborative approach and calmness under pressure; an ability to meet pressing deadlines.
  • Flexibility and adaptability: An energetic and positive-minded approach is essential. As well as the ability to contribute new ideas, approaches, and grasp new methodologies.

Experience

Required:

  • Previous experience in client facing/project management roles, personal assistant – support multiple stakeholders preferred.
  • Proven experience in diary management

 

Desired:

  • Experience working with a wider team and senior stakeholders
  • Experience of working with multiple platforms such as SharePoint, scheduling platforms, etc.
